Privacy Policy and Information in accordance with GDPR

Protecting your personal data during all data processing operations (for example: collection, processing and transfer) is important to us. Your data are protected within the framework of statutory regulations. Data collected are subject in particular to the EU General Data Protection Regulation (GDPR) and the German Data Protection Act (BDSG (amended)). We ensure such comprehensive protection by implementing technical and organizational measures.
The following Policy provides an overview of which data are collected when you visit the Arvato Financial Solutions website, how these data are used and forwarded, the security measures we put in place to protect your data, and how you obtain details of the information given to us.
This Privacy Policy applies to the whole website, but not to the sites of other providers that are linked to our website.
If you send us personal or business data (e-mail addresses, names, mailing addresses, date of birth) through our website and by registering accept the Privacy Policy, we assume that you consent to the collection, storage, use and processing of your personal data in accordance with this Privacy Policy. Hence, data which you enter on our website are encrypted using the SSL method (Secure Socket Layer) and stored on specially protected servers.

1. Collection, use, processing, forwarding, and storage of personal data

In conjunction with your visit to our website, data that may allow identification (for example, anonymized IP address; date, time and pages visited; data of requesting computer; data identifying the browser and operating system used, as well as referrer website) are stored temporarily on our servers for security purposes. The temporary storage of these data serves solely internal system-based and statistical purposes. Data are not used for identification purposes.
Moreover, in order to use the full functionality of the service portal and to answer your questions, process your requests or provide support, we need to ask for personal data such as your name, address, e-mail address, date of birth, phone number and, where appropriate, your bank details. It is up to you to decide the extent to which you use the service portal and enter your data for this purpose.
Consequently, we process the following categories of data: address data, bank details, communication data, contact details, and master data. Personal login data may not be passed on to third parties and must be stored in a location that is protected against access by third parties. Insofar as there is reason to assume that unauthorized persons have gained knowledge of login data, please contact us without delay.
We need to collect, process, store, and use your data in order to provide our diverse services in a proper manner. In doing so, we comply with the relevant legal provisions in the General Data Protection Regulation and the German Data Protection Act (amended).
Insofar as you have made personal data available to us, we use such data solely within the framework of this Privacy Policy and for the purpose for which you have provided these data, in particular to answer your questions, execute and implement your requests, and for the technical administration of the website.
Only specially authorized persons tasked with processing your request will be charged with reading and further processing your data, and this will take place solely for the purpose for which you have provided these data.
Your personal data, which you have sent to us in the course of using this website, will not be forwarded, sold, or transferred in another manner to third parties. However, we would like to point out that in individual cases, we are obliged, at the request of the competent authority, to provide details of data insofar as these are necessary for the purposes of criminal prosecution, averting danger by the state police authorities, completing the statutory tasks of the federal and state constitution protection authorities, the Federal Intelligence Service or the Military Counterintelligence Service, or enforcing intellectual property rights.
Insofar as you have provided personal data to us in the context of the website functions offered (for example, chat function, contact form), particularly in the event of a change of address, we assume that you give your consent to the collection, storage, use, processing and transfer of your personal data.
Moreover, your personal data may be collected, stored, used, processed, and transferred based on the permission granted under data protection legislation (here: Article 6 (1) f) GDPR) or a statutory obligation. Our legitimate interest in accordance with Article 6 (1) f) GDPR is communication with you regarding the receivable management to be implemented by us, as well as technical administration of the website.
Furthermore, your personal data will not be forwarded, either regularly or under extraordinary circumstances, for advertising or market research purposes.
If personal data is forwarded to a provider in the context of subcontractor processing, steps will be taken to ensure that such providers are bound by the General Data Protection Regulation, the German Data Protection Act (amended), and other statutory requirements.
The personal data you send to us will be stored in a data protection compliant manner.

2. Erasure, objection and other rights

Your data, which you send to us in the context of registering (login), are erased insofar as this is provided for in law and there are no compulsory retention requirements that conflict with this.
Moreover, you have the right to have your data erased provided these are no longer required for the proper provision of our service and there are no compulsory retention requirements that conflict with this.
Communication data and contact details (apart from details of support services and mandated lawyers) are erased after a period of three years following the completion of a debt collection procedure. After visiting the website, server log files are stored on the web server and the IP addresses contained therein are erased after no more than five days. These files are only examined during this storage period in the event of an attack.
You have the right to object to the processing of your data in the context of server log files provided there are grounds for this arising from your particular circumstances. Please contact us if you wish to exercise your right to object.
You also have the right to object to the processing of your contact details provided there are grounds for this arising from your particular situation. Please contact us if you wish to exercise your right to object. If you object, communication cannot continue. An exception will be made if storing your contact details is necessary for the performance of a contract or exercising your rights as a data subject.
You are entitled to the following rights in accordance with Articles 15 to 22 GDPR, provided the statutory conditions have been met: Right of access to and rectification of personal data, restriction of processing, and data portability.

You are also entitled in accordance with Article 14 (2) c) in conjunction with Article 21 GDPR to object to processing based on Article 6 (1) f) GDPR (see above).

 7. Adobe Analytics (Omniture)

This website uses Adobe Analytics. Adobe Analytics is a service provided by Adobe Systems Software Ireland Limited, 6 Riverwalk Naas Road Dublin 24, Ireland (Adobe). 8. Matomo

Our website uses Matomo (formerly Piwik). Matomo is provided by InnoCraft Ltd, 150 Willis St, 6011 Wellington, New Zealand. Matomo uses analysis cookies to map a pseudonymized usage profile on the company's website in order to optimize its user friendliness. This usage profile is stored solely on the company’s web servers and is not transferred to InnoCraft Ltd servers. Pseudonymity is ensured by abbreviating the IP address (collected as server log file inventory on provision of the website by the website provider) before it is transferred to InnoCraft Ltd, thereby preventing the possibility of your identity being determined. This IP address is not combined with other data.
Matomo always sets these analysis cookies when you visit the website. The cookies remain in place for six months unless you delete these before the end of this period via your browser settings.
There is no third-country transfer as a result of using Matomo. No data is sent to the InnoCraft Ltd web servers.
More information on data processing with Matomo can be found in the privacy policy: matomo.org
You can object to the creation of a usage profile. In this case, please flag the checkbox below.
